Pacific Nations Auto Sales & Finance Ltd. is committed to protecting the personal information of our customers. This policy explains what we collect, why we collect it, who we share it with, and the rights you have over your own information.
We handle personal information in accordance with British Columbia’s Personal Information Protection Act (PIPA), which sets the rules for how private sector organizations in B.C. collect, use and disclose personal information.
Definitions
“Personal information” means information about you as an identifiable individual. This includes your name, home address, telephone number, email address, date of birth, and where applicable your financial and credit information. Your business address, title and business telephone number are not personal information when used for business purposes.
“Service providers” means companies that provide services to us but are not our employees, including our website provider, our customer relationship management system, and the secure platforms we use to process credit applications.
“Lenders” means the financial institutions we submit credit applications to on your behalf, with your consent.
Privacy Officer
As required under PIPA, we have designated a privacy officer responsible for our compliance with this policy and with the Act. You can reach them with any question, request or concern about your personal information.

What We Collect
What we collect depends on how you deal with us.
When you contact us or visit the dealership, we may collect your name, address, phone number, email address, and details about the vehicle you are looking for or the vehicle you may be trading in.
When you apply for financing, a credit application requires considerably more, including your date of birth, address history, employment and income information, identification, and information about your existing credit obligations. With your consent, we also obtain your credit report from a credit reporting agency.
When you purchase a vehicle, we collect the information needed to complete the sale, register and insure the vehicle, and meet our record-keeping obligations as a licensed motor dealer in British Columbia.
Automatically, when you visit our website, we collect standard technical information such as your IP address, browser type, the pages you visit, the date and time of your visit, and the site you came from.
Why We Collect It
We collect, use and disclose personal information only for purposes a reasonable person would consider appropriate, and only what we need for those purposes. Specifically:
- To respond to your enquiry and help you find a suitable vehicle
- To appraise a vehicle you are considering trading in
- To process your credit application, including verifying the information you provide and evaluating creditworthiness
- To enter into and complete your purchase or finance transaction, including registration, lien and title matters, and insurance-related activities
- To administer the transaction afterward, including responding to your questions, collecting amounts owed, and maintaining records for legal and accounting purposes
- To maintain warranty and service records and to carry out recall notifications
- To verify your identity and to detect and prevent fraud
- To meet our legal, regulatory and record-keeping obligations, including those of the Vehicle Sales Authority of British Columbia
- Where you have consented, to contact you about promotions, offers or services
We do not sell or rent your personal information to anyone.
Consent
We collect, use and disclose your personal information with your consent, except where PIPA permits or requires otherwise.
For a credit application, your consent is obtained separately and explicitly through the consent document you sign or acknowledge as part of that application. It authorizes us, the credit platform we use, and each lender we submit to, to use your information for the purpose of processing your application, including conducting credit investigations and exchanging information with credit reporting agencies. We encourage you to read it before signing.
You may withdraw your consent at any time by contacting our privacy officer, subject to legal and contractual restrictions and reasonable notice. You can withdraw consent to marketing and promotional contact at any time without affecting anything else. Withdrawing consent to the other uses described above may mean we can no longer process an application, complete a transaction, or continue to provide a service, and we will explain the effect to you at the time.
Who We Share It With
We disclose personal information only as necessary for the purposes above, and only to:
- Lenders we submit your application to on your behalf. We choose these based on your circumstances and typically submit to between two and five.
- Credit reporting agencies, including Equifax Canada and TransUnion Canada, where you have consented to a credit check
- Service providers who help us operate, including the platforms we use to submit and manage credit applications, our customer relationship management system, our website provider, and vehicle history report providers
- Insurers, registries and government or regulatory bodies, where required to register, insure or licence a vehicle, or to meet a legal obligation
- Others, where you direct us to, or where disclosure is permitted or required by law
Cookies and Analytics
Our website uses cookies, which are small files stored on your device. Some are necessary for the site to work. Others are set by analytics and advertising services that help us understand how visitors use the site and reach people who may be interested in our vehicles.
The tools we use include Google Tag Manager, Google Analytics, and Meta (Facebook and Instagram) tracking pixels. Google Analytics helps us understand how visitors use the site, such as which pages are viewed most often and where visitors came from. The Meta pixel allows us to measure how our Facebook and Instagram advertising performs and to show our ads to people who may be interested in our vehicles. Data collected by these tools is processed by Google and Meta according to their own privacy policies, and may be stored outside Canada.

Text Messages and Phone Numbers
We may text you as part of serving you, including to send a secure link for documents relating to a credit application. We do not share mobile numbers, texting opt-in information, or consent records with third parties for marketing purposes. You can ask us to stop texting you at any time.
Information Stored Outside British Columbia
Some of our service providers store or process information outside British Columbia, and in some cases outside Canada. Where that happens, the information may be subject to the laws of that jurisdiction, and may be accessible to courts, law enforcement or regulators there under the laws that apply. We take reasonable steps to ensure our service providers protect personal information at a standard comparable to what PIPA requires. If you would like to know where a specific piece of your information is held, contact our privacy officer.
How We Protect It
We use physical, organizational and technological safeguards appropriate to the sensitivity of the information. Physical files are kept in locked storage. Our computers are password protected, and the systems that hold customer information require multi-factor authentication to access. Access within our organization is limited to staff who need the information to do their jobs.
Financial documents are collected through a secure portal. When we need documents such as pay stubs or bank statements, we send you a secure link rather than asking you to email them. If you send documents by email or text instead, we move them into the secure system and delete them from our inboxes and devices.
No method of transmission or storage is completely secure, and we cannot guarantee the security of information sent to us over the internet. Once we receive it, we apply the safeguards described above.
How Long We Keep It
We keep personal information only as long as we need it for the purposes it was collected for, or as required by law. Our internal document retention and destruction policy sets the periods, which vary depending on the type of information, its sensitivity, and the purpose it was collected for.
Where we have used your personal information to make a decision that directly affects you, PIPA requires us to retain that information for at least one year afterward so that you have a reasonable opportunity to request access to it.
We may need to keep information after our relationship with you ends, for legal or regulatory purposes, to respond to an issue that arises later, or for fraud prevention. When we no longer need it, we securely destroy, delete or anonymize it.
Automated Decisions
When you apply for financing, a lender may evaluate your creditworthiness and make a decision about your application based entirely on automated processing of your personal information, without a person reviewing it.
If your application is declined, ask us. Where we are able to, we will tell you the reasons for the decision. If a credit reporting agency’s information was relied on, we can tell you which agency, so you can obtain your own file from them:

Your Rights Over Your Information
Access. You have the right under PIPA to ask what personal information we hold about you, how we have used it, and who we have disclosed it to. This includes information held on our behalf in the credit platforms we use, so please bring these requests to us.
Correction. You can ask us to correct information that is inaccurate or incomplete. If we make a correction, we will pass it on to anyone we previously gave the information to who relies on it. If we do not agree with a requested change, we will note your request on your file.
Deletion. You can ask us to destroy or anonymize your personal information once it is no longer required for the purposes it was collected for.
To make any of these requests, contact our privacy officer. There are limited circumstances in which we may not be able to provide everything requested, for example where records contain information about another person, are subject to legal privilege, or cannot be disclosed for other legal reasons. If that applies, we will tell you why.
Complaints
If you have a concern about how we have handled your personal information, please write to our privacy officer at privacy@pacificnations.ca. Include your name, contact information, and enough detail about the concern for us to look into it properly.
We will treat your complaint confidentially. Within 30 days of receiving it, or of receiving any additional information we need, we will assess it and give you a written response explaining our conclusion. If we cannot complete our review in that time, we will tell you why and how long we expect it to take.

Children
We do not knowingly collect personal information from anyone under the age of majority without the consent of a parent or guardian.
Links to Other Websites
Our website links to sites operated by others, including our credit application portal, vehicle history providers and our social media pages. We have no control over how those sites handle personal information. Please read their privacy policies before providing information to them.
If Our Business Changes Hands
If Pacific Nations is sold, merged, or transfers a substantial part of its business or assets, customer information may be transferred as part of that transaction. You would be notified before your information is transferred and becomes subject to a different privacy policy. Any party receiving it would be required to keep it confidential and use it only for the purposes described in this policy.
Changes to This Policy
We may update this policy from time to time. The date at the top shows when it was last revised. We will not reduce your rights under this policy without your consent, and we will post a notice on this page if we make a significant change to how we handle personal information.

This policy is governed by the laws of the Province of British Columbia and the applicable laws of Canada.
